Bless it. I can’t tell you how many times I’ve hopped on a clarity call and seen sticky notes clinging to a client’s monitor for dear life… like they’re auditioning for “So You Think You Can Dance.”

And listen — I’m not judging. Sticky notes are cute. They’re colorful. They make us feel productive.

But, sticky notes aren’t a strategy. They’re a symptom.

Behind the scenes, your brain is doing cartwheels trying to remember who needs what, when it’s due, and what tab your Google Doc is hiding in.

This is the exact framework I use with my service providers when we’re moving their business out of their head and into systems that actually work.

1. Capture

Write it all down, yes, even the random stuff.

This is the brain dump, the “get it out of my head before it evaporates” part.

But instead of plastering your desk like a kindergarten craft project, you put everything into a single place.

Notes app. ClickUp. A Google Doc. Doesn’t matter.

One place. One home. One source of truth.

2. Categorize

Now we separate the “must-dos” from the “nice ideas” and the “why did I write this??” items.

Ask yourself:

• Is this a task?

• Is this part of a recurring workflow?

• Does this belong in a client process?

• Does this need to be delegated? (Yes, delegation is coming — breathe.)

This is where things start clicking, because you begin to see patterns instead of chaos.

3. Connect

This is the magic.

We take all those categorized tasks and connect them into simple, repeatable workflows.

Notice I didn’t say complicated.

I didn’t say automated.

I didn’t say “give up your firstborn child to Zapier.”

Just simple.

When a workflow is connected — meaning every step has a home and a sequence — you stop reinventing the wheel every single week.

This is how your systems grow with you instead of tripping you up when you’re trying to scale.
